WILD Ones Forest Adventures Cancellation & Pricing Policy

We understand that life happens, and sometimes plans change. This policy outlines our cancellation and pricing structure for all WILD Ones programs.

Payment:

  • Program fees vary and must be paid in full upfront before the session starts.

  • We accept payment through Paypal, Direct Deposit, online or other pre-arranged options.

  • Early payment allows us to efficiently organise resources, staff, and equipment.

  • Late or non payments will result in denied participation.

Cancellation by You:

Forest School Day and After School Sessions:

  • Unfortunately, WILD Ones Forest School cannot offer "make-up" sessions or refunds for illness-related absences.

  • We expect one week's notice for all cancellations to receive a full refund. This can be done via texting us in WhatsApp or via email.

  • Less than 72 hours notice or once a session starts, no refunds are available.

Forest Adventures Single Day Guided Tours:

  • Cancellations within 7 days of the tour or experience: 100% cancellation fee.

  • Cancellations made 8-14 days prior to the tour or experience: 50% cancellation fee.

  • Cancellations made over 15 days prior to the tour or experience: Full refund minus 10% admin fee + booking/transaction fee.

  • Failure to attend a tour or experience (No Show): 100% cancellation fee.

Forest Adventures Private and Multi-Day Guided Tours:

  • Cancellations within 30 days of the tour or experience: 100% cancellation fee.

  • Cancellations made 30-60 days prior to the tour or experience: 50% cancellation fee.

  • Cancellations made over 60 days prior to the tour or experience: Full refund minus $100 administration fee.

  • Failure to attend a tour or experience (No Show): 100% cancellation fee.

Transferring Bookings:

If you cannot attend a booked tour or experience, you may transfer your booking to a family member or friend. You must provide us with written notice of the transfer, including the full name and contact details of the new participant. The new participant will be required to complete and sign a waiver of liability before participating.

Cancellation by WILD Ones:

  • Unexpected Circumstances: In the event of unexpected circumstances beyond our control (e.g., illness, injury), we will work with you to find a suitable solution.

  • If we must cancel a tour or experience before it begins due to inclement weather, terrorism, natural disasters, civil unrest, or other external events that, in our sole opinion, make it impractical or unviable to operate, you will receive a full refund, less any transaction fees and unrecoverable costs, or a credit toward another available tour or experience. We are not liable for any incidental losses you may incur as a result of our cancellation.

Severe Weather:

  • We prioritise participant safety in all weather conditions.

  • If severe weather is forecast (fire, thunderstorms, high winds, flash flooding, etc.), and an alternate location cannot be found, we may cancel the session in advance (with at least 24 hours notice). In this case, you will receive a credit towards another session, workshop, or WILD Ones store products.

  • Unfortunately, fees cannot be refunded for sessions cut short or cancelled mid-way due to unexpected severe weather.

Wet Weather:

  • WILD Ones is an "all-weather" adventure tour experience. Sessions operate in wet weather as long as it's safe. No refunds for damp days will be offered.

  • We may provide temporary shelters, but participants (children, staff, and adults) can expect to get wet in damp conditions (often by choice!).

  • Please ensure everyone attending dresses appropriately for the conditions.

  • School/centre cancellations due to rain on the program day will incur a 100% cancellation fee.

Excursions & Professional Development Workshops:

  • A minimum booking fee or 50% deposit (details upon request) is required within 30 days of receiving your invoice to confirm your booking.

  • Late payments may forfeit your preferred date.

  • Final participant numbers must be confirmed one week before the booking date for proper staffing and resource allocation.

  • Cancellations within 14 days of the booking will result in a loss of the security deposit.

  • Final payment is due within 7 days after the excursion/workshop/program.

  • Cancellations within 7 days of the booking date forfeit the entire fee, including any outstanding payments.

Membership Terms:

  • Minimum Membership Period: Regardless of membership type, there is a minimum payment period of six months before cancellation is permitted.

  • No Refunds or Transfers: Refunds or transfers of membership between attendees are not available.

Membership Cancellation Fees

  • Within the Minimum Period: If you cancel your membership within the six-month minimum period, you will be charged a cancellation fee equal to the remaining six months of your membership.

  • After the Minimum Period: If you cancel your membership after the six-month minimum period, there will be no cancellation fee.

By purchasing a membership, you understand and agree to these additional terms and conditions.

Changes to Bookings:

  • Any booking modifications must be made by email to gday@wildones.au, including adjustments to participant numbers, dates, and departure times.
