WILD Ones Forest School Cancellation & Pricing Policy
We understand that life happens, and sometimes plans change. This policy outlines our cancellation and pricing structure for all WILD Ones programs.
Payment:
Program fees vary and must be paid in full upfront before the session starts.
We accept payment through Paypal, Direct Deposit, online or other pre-arranged options.
Early payment allows us to efficiently organise resources, staff, and venue hire should there be any for that session.
Late payments may result in denied participation.
Absence (Illness):
Unfortunately, WILD Ones cannot offer "make-up" days or refunds for illness-related absences.
Our fees are based on attendance ratios, staffing needs, and resource allocation.
Cancellation by You:
We appreciate one week's notice for cancellations to receive a full refund on casual passes only. This can be done via texting us in WhatsApp or via email.
Cancellations within 24 hours of start of Term incur a 50% fee on casual passes only.
Once a session or term starts, no refunds are available.
Open Day cancellations are non-refundable due to administrative costs exceeding the registration fee.
Cancellation by WILD Ones:
If a program is cancelled due to low enrolment, you will receive a full refund or have the option to choose another program.
Unexpected Circumstances: In the event of unexpected circumstances beyond our control (e.g., illness, injury), we will work with you to find a suitable solution.
Severe Weather:
We prioritise participant safety in all weather conditions.
If severe weather is forecast (fire and smoke, thunderstorms, high winds, flash flooding, etc.), and an alternate location cannot be found or it is recommended by emergency services that session not be held, we will cancel the session in advance.
In this case, there will be an option for a make up session either at another location or additional day at the end of the term.
Unfortunately, fees cannot be refunded or make up session included for sessions cut short or cancelled mid-way due to unexpected severe weather.
Wet Weather:
WILD Ones is an "all-weather" program. Sessions operate in wet weather as long as it's safe.
We provide temporary shelters, but participants (children, staff, and parents) can expect to get wet (often by choice!).
Please ensure everyone attending dresses appropriately for the conditions.
School/centre cancellations due to rain on the program day will incur a cancellation fee.
Excursions & Professional Development Workshops:
A minimum booking fee or 50% deposit (details upon request) is required within 7 days of receiving your invoice to confirm your booking.
Late payments may forfeit your preferred date.
Final participant numbers must be confirmed one week before the booking date for proper staffing and resource allocation.
Cancellations within 2 weeks of the booking will result in a loss of the security deposit.
Final payment is due within 7 days after the excursion/workshop/program.
Cancellations within 7 days of the booking date forfeit the entire fee, including any outstanding payments.
Membership Terms:
Minimum Membership Period: Regardless of membership type, there is a minimum commitment period of six months before cancellation is permitted. Cancellations can be completed after this time by emailing gday@wildones.au
No Refunds or Transfers: Refunds or transfers of membership between attendees are not available.
Memberships can be held all year, without enrolling in a term. This means your child is guaranteed a space, without attendance. EG should your family go on holiday for a term, having a membership means we cannot sell a membership to another person taking up your child's space.
It is the parents responsibility, to actively sign up for each term. Each child MUST be enrolled before the beginning of the term to guarantee participation. This can be done via the enrol page of our website.
Each annual membership has a variety of parameters, please investigate thoroughly to ensure the correct membership selection.
Cancellation Fees
Within the Minimum Period: If you cancel your membership within the six-month minimum period, you will be charged a cancellation fee equal to the remaining six months of your membership.
After the Minimum Period: If you cancel your membership after the six-month minimum period, there will be no cancellation fee.
By purchasing a membership, you understand and agree to these additional terms and conditions.
Changes to Bookings:
Any booking modifications must be made by email to gday@wildones.au, including adjustments to participant numbers, dates, and times.
